What: Do you have different job contract terms based on employment type? If so, you might need to create multiple job contract templates to use from.
Here's how:
Create Job Contract Templates - Content types (do this if the template is not yet on the Job Contract content types).
Go to:
CORE HR >Documents > Job Contracts
Job Contract List > Library > Library Settings
On the settings, you will see the Content Types section, which displays the list of existing templates available for Job Contracts. If the template that you'd like to add as a template already exist on other list (e.g., Job Offers, etc.) just select Add from existing site content types
If not, you have to create the Site Content Type first.
Settings > Other Settings > Site Settings > select Site Content Types under Web Designer Galleries
then select Create
Fill out necessary details.
Once done, you can customise the content type by adding columns to auto populate data (this will also be used to populate document properties on the template).
Selected content type > Add existing Column (if the column you'd like to add already exist)
If not, you need to createit first. To create a column, go to:
Settings > Other settings > Site Settings > Site Columns > Create
Once done creating the columns, you can now go back to:
Job Contract > Content Types > selected content type > add existing column > and select the columns accordingly
After that, you can now upload the template on the content type you just created.
Select the content type > Advanced Settings > Upload the template > OK
Once it was saved, select the Advanced Settings again and Editthe template.
The template will open to your desktop and add the Document Properties (as per the columns you've created) to the details on the template that you'd like to auto populate.
Open the template > Insert > Quick Parts > Document Property > and insert the properties to the corresponding text that you would like to auto populate data
here is how it should look like after inserting the properties
Savethe template to your desktop and re-upload it the content type to apply the changes.
Now, you can go ahead and generate the Job Contract:
Go to the employee card (of the employee you'd like to generate the job contract) > select Job Contracts ribbon > and select the content type (which template to use) > Generate
And the Job Contract will generate accordingly.
Open the document to see if all the values were populated accordingly.
To see all generated job contracts, go to Core HR > Documents > Job Contracts
